JOB DESCRIPTION
Role and Responsibilities:
Function: Conducts procedure necessary for successful operation of the tourism office; manages day-to-day financial transactions and basic accounting duties; performs administrative assistant duties as required by the Executive Director and serves as the liaison to visitors and the public
- Maintains a well-informed, working knowledge of the attractions, businesses and events supporting tourism in Port Arthur and surrounding area
- Assists in the updating of tourism brochures and publications
- Maintains all financial records; processes invoices; manages payments; bank reconciliations; prepares monthly financial reports; processes payroll/payroll taxes and federal/state reports
- Compiles financial information for annual outside audit and updates records as needed post-audit
- Maintain general resource and policy files including insurance, benefits and employee payroll records
- Responsible for management of office inventory including supplies, publications and equipment
- Prepares monthly board meeting packets and distributes prior to meeting
- Manages and tracks visitor inquiries through phone, mail and tourism software; greets visitors to the office requiring excellent customer service skills; CRM database skills preferred but not required
- Contribute to the CVB website by entering listings, images, content and calendar updates. WordPress experience preferred but not required.
- Manages incoming and outgoing mail and shipping
- Requires promptness and reliability as responsibility includes opening and closing of the office
Qualifications and Education Requirements
- QuickBooks Proficiency
- 1-2 years of relevant experience in bookkeeping/accounting/office management role
Preferred Skills
- Knowledge of WordPress
